Bulk Importing Data

If you already have product and metric data in spreadsheets, Valtrics lets you bulk import them instead of creating each one manually. This is the fastest way to populate your portfolio.

When to Use Bulk Upload

Bulk upload is ideal when:

  • You're migrating from another tool and have existing product data
  • You need to add many products at once (10+)
  • You have product data in a spreadsheet that you want to bring into Valtrics
  • You're onboarding a large team and want everything set up before they start

For adding a few products, the manual creation flow is faster. See Managing Your Portfolio.

Step 1: Download the Template

  1. Navigate to the Portfolio page
  2. Click the Import button (or upload icon)
  3. Click Download Template to get the CSV template

The template includes:

  • Column headers that match Valtrics fields
  • Example data rows to guide you
  • Notes on which fields are required vs. optional
  • Lists of valid values for fields like lifecycle stage

Step 2: Fill In Your Data

Open the template in your preferred spreadsheet application (Excel, Google Sheets, etc.) and fill in your data.

Tips for Filling In the Template

  • Don't rename columns — Valtrics matches data by column header names
  • Don't reorder columns — Keep them in the original order
  • Use valid values — For lifecycle stages, use the exact values listed above
  • Owner emails must match — If you specify an owner, their email must belong to an existing team member
  • Tags are comma-separated — e.g., "Customer-facing, Mobile, Strategic"

Step 3: Upload and Validate

  1. Return to the Import page
  2. Click Upload File and select your completed template
  3. Valtrics reads the file and shows a validation preview

The preview shows:

  • Valid rows — Ready to import (shown in green)
  • Warning rows — Will import but with notes (shown in yellow)
  • Error rows — Will be skipped (shown in red)

Common Validation Errors

Step 4: Confirm Import

Once you've reviewed the validation preview:

  1. Fix any errors in your spreadsheet and re-upload if needed
  2. Click Confirm Import to proceed
  3. Valtrics creates all valid products

You'll see a summary of what was imported:

  • Number of products created
  • Number of rows skipped (if any)
  • Any warnings

After Import

Once your products are imported:

  1. Review in Portfolio — Check that all products appear correctly
  2. Add details — Fill in descriptions, assign owners, and add tags for any products that need it
  3. Build KPI trees — Create KPI trees for your imported products. See Building KPI Trees
  4. Invite your team — If you haven't already, invite team members so they can start working with the imported data

Frequently Asked Questions

Can I update existing products via bulk upload? Bulk upload currently creates new products only. To update existing products, use the product detail page.

What file formats are supported? CSV (.csv) files are supported. Save your Excel or Google Sheets file as CSV before uploading.

Is there a row limit? There's no hard limit, but we recommend importing in batches of 100 or fewer for the best experience.

Can I undo a bulk import? There's no single "undo" button. You would need to manually delete the imported products. We recommend reviewing the validation preview carefully before confirming.

Can I import metric values in bulk? Bulk import for metric values is planned for a future release. Currently, metric values are entered manually.
